Käyttötarkoitus: Suomen Lähi-idän instituutin säätiön sr apurahahakemusten ja apurahoja koskevan tiedon käsittely.
Rekisteröityjen ryhmät: apurahan hakijat ja saajat
Kuvaus henkilötietoryhmistä: Nimi, henkilötunnus, osoite, puhelinnumero, sähköposti, suoritetut tutkinnot ja pääaine, suoritetut opintopisteet, ansio- ja julkaisuluettelo, hakemuksen perustelut, suosittelijat ja heidän kirjoittamansa suositukset. Apurahan saajilta maksamista varten lisäksi pankkiyhteystiedot ja verotuskunta.
Vastaanottajaryhmät: Henkilötietoja käsittelevät säätiön henkilökunta ja hallituksen jäsenet. Apurahan maksamista varten tiedot kurssioikeuden saaneista henkilöistä (nimi, osoite, henkilötunnus, pankkiyhteystiedot, verotuskunta) luovutetaan taloushallintopalveluiden hoitajalle (Blond Accounts Oy). Yli 1000 € apurahoista luovutetaan tieto Verohallinnolle koneellisesti, Mela-vakuutusvelvollisuuden piiriin kuuluvista Melalle koneellisesti. Valtionavustuksesta maksetuista stipendeistä säätiö luovuttaa tiedot opetus- ja kulttuuriministeriölle. Aimo T. Nikolaisen stipendin hakijoiden tiedot luovutetaan apurahan myöntävän Suomen Konstantinus Yhdistyksen hallitukselle. Julkaisemme apurahan saajien nimet ja heidän saamansa summan sekä vuosikertomuksessamme että www-sivuillamme. Välitämme Suomen Lähi-idän instituutin ystävät ry:n stipendin hakemukset Suomen Lähi-idän instituutin ystävät ry:n hallitukselle.
Tietojen käsittely: Tietojen käsittelyssä noudatetaan huolellisuutta ja tietojärjestelmien avulla käsiteltävät tiedot suojataan asianmukaisesti. Kun tietoja säilytetään Internet-palvelimilla, niiden laitteiston fyysisestä ja digitaalisesta tietoturvasta huolehditaan asiaankuuluvasti. Tallennettuja tietoja sekä palvelimien käyttöoikeuksia ja muita henkilötietojen turvallisuuden kannalta kriittisiä tietoja käsitellään luottamuksellisesti ja vain niiden työntekijöiden ja luottamushenkilöiden toimesta, joiden työnkuvaan se kuuluu.
Tietojen säilytysajat tai sen määrittämiskriteerit: Apurahan saajien nimet ja tutkimusaiheet säilytetään historiatietona pysyvästi (instituutin vuosikertomukset). Apurahan saajien hakemukset säilytetään viiden vuoden ajan. Hylätyt hakemukset säilytetään kolmen vuoden ajan (peruste: apurahaa toistuvasti hakeneiden seuranta ja hakemusten kehitys).

Privacy notice, grants
Purpose of collecting and processing information: Processing grant applications to the Foundation of the Finnish Institute in the Middle East sr, and processing other information related to the grants.
Categories of data subjects: Applicants and grantees of the grants.
Description of personal data: Name, social security number, address, telephone number, e-mail, degrees, study major, number of ETCSs, CV and publications list, motivation letter, references and reference letters of the applicants. In addition, bank information and municipality of taxation of the grantees.
Recipient categories of data: The personal data is processed by the employees of the Finnish Institute in the Middle East and the Foundation of the Finnish Institute in the Middle East (FIME). Information for paying the grant (name, address, social security number, bank information, municipality of taxation) is handed over to the bookkeeping company Blond Accounts Oy. Information on grants over 1000 € is handed over to the tax administration via an electronic system, information on grants that are under Mela responsibility will be handed over to Mela via an electronic system. The information on grants that are awarded out of the discretionary government transfer is handed over to the Ministry of Education and Culture. Information of the applicants to the Aimo T. Nikolainen grant are handed over to the board of the Suomen Konstantinus Yhdistys which is the organization that awards the grant. The foundation of the Finnish Institute in the Middle East announces the names of the grantees and the euro sums granted in its annual report and on its web page. The stipend applications for the Friends of the Finnish Institute in the Middle East will be forwarded to the board of the Friends of the Finnish Institute in the Middle East.
Processing of the data: All personal data is processed with care, and electronic data in electronic systems is protected in necessary means. When storing data on internet servers, the physical and digital security of the devices is secured with necessary means. Access to the databases is restricted to only those employees and associates who need to have the data in question to process the applications.
Storage period or criteria used to determine the storage period of the data: Names and research topics of the grantees are stored permanently in the annual report of the institute. Applications of the grantees are stored for five years. Rejected applications are stored for three years to monitor recurring applicants and the evolution of the applications.
Transfer of personal data to a third country: The data will be processed also outside of the EU, as the main office of the institute is in Beirut, Lebanon.
